Tenancy Pack

Energy Performance Certificates (EPCs) will be required for all new residential tenancies created on or after 1 October 2008. There is nothing however to stop Landlords/Letting Agencies in obtaining their EPCs - valid for 10 years - straightaway. By doing so now may save money as the validity of the EPC could be reduced to 3 years between now and October.

How can we help?

We have developed a product which will allow those supplying EPCs to Landlords/Letting Agencies to offer 'added value' to their office by facilitating the delivery of the EPC through an electronic log book accessible over the internet. The product is also available for purchase by the Landlord or Letting Agent direct.

How does it work?

The log book known as the Tenancy Pack is an online depository created for each property allowing the Landlord and or Agent to upload and store documents relevant to the rented property, which includes:

  • The Tenancy Agreement
  • Legal Notices
  • The Gas Certificate
  • The Electrical Appliance Certificate
  • Manuals for the use of appliances
  • Utility and Council Tax Documents as well as contact numbers for the Tenant
  • The EPC
  • Inventory
  • Insurance Policies
  • Deposit Holding Scheme Documentation

The Pack also has a reminder and e-mail module which allows the Landlord/ Letting Agent to set e-mail reminders for rent reviews, energy performance certificates, gas and electrical inspections. It can also be used to send automated e-mails to preferred contractors to attend and carry out gas and electrical surveys.

The landlord will also be able to use the pack to record and log:

  • Important emergency contact numbers for the preferred plumber, electrician and locksmith.
  • Rent received
  • Last gas and electric meter readings
  • Addresses and references of utility suppliers

Who has access to the online portal?

The tenant can be given access to those parts of the Pack which you wish to grant viewing permission. For example the tenant will be able to see the information recorded on rent, the tenancy agreement and the gas certificates, inventory as well as the rent record and important contact numbers.

The Letting Agent can also be given access.

Other Features

The Pack will also enable the Landlord and or Letting Agent to upload photographs of the property and a property description for advertising which will make it easier for the property to be re-let at the end of the tenancy period.

The introductory cost for the first year will be fixed at £5 plus VAT for each property.
